Job Summary: We are seeking an organized and detail-oriented Accounts Receivable Specialist to join our finance team in a fast-paced food manufacturing environment. The ideal candidate will be responsible for assisting in all aspects of the accounts receivable process, processing outgoing invoices, ensuring timely and accurate collection of payments from customers, maintaining up-to-date customer records, and supporting the finance department in forecasting cash flow and minimizing bad debts.
Key Responsibilities:
- Prepare and issue electronic invoices and associated EDI files to wholesale and retail customers in accordance with agreed-upon payment terms and sales contracts.
- Record and post payments into the accounting system, ensuring accurate and timely application of customer payments.
- Communicate with customers to resolve any payment discrepancies, address billing inquiries, and follow up on overdue accounts.
- Monitor aging reports and initiate collection actions for overdue accounts.
- Reconcile customer accounts, investigate and resolve any discrepancies between payments and invoices.
- Maintain accurate and organized records of all customer transactions, invoices, and communications.
- Work closely with the sales, customer service, and finance teams to ensure smooth order-to-cash processes.
- Cash forecasting includes maintenance of complex files, with actual cash receipts vs. budget and associated explanation of variance.
Qualifications:
- High school diploma or equivalent; associate degree in accounting or finance preferred.
- 5 + years of experience in accounts receivable, preferably in a manufacturing or food industry setting.
- Strong understanding of accounting principles and practices.
- Experience with accounting software (SAP, or similar).
- Proficient in Microsoft Excel and other office software.
- Excellent communication and negotiation skills.
- Strong attention to detail and organizational skills.
- Ability to work independently and as part of a team.
